These Terms & Conditions ("Terms") govern your access to and use of services provided by The Open Pattern ("we", "us", "our") for neurodiversity coaching, consulting, workshops, and related services ("Services"). By engaging our Services, you agree to these Terms. If you do not agree, do not book or use our Services.

 

Services and scope: We provide one‑on‑one coaching, group coaching, consulting, workplace training, assessments, workshops, and written deliverables as described in your engagement agreement or booking confirmation. Standard coaching: two 60-minute sessions per month plus unlimited email support between sessions. We are coaching/consulting professionals, not medical or legal providers; Services are educational and not clinical treatment. Specific deliverables, timelines, and fees appear in your engagement agreement, invoice, or booking confirmation.

 

Scheduling and session management: Sessions are scheduled at a regular day/time each month and may be rescheduled by either party with at least 48 hours’ notice. Clients are responsible for initiating sessions. Cancellations by the client without 48 hours’ notice incur a full session’s fee; no‑shows are charged a full session fee. If we cancel, we will do so in advance and reschedule.

 

Booking, payments, and termination timing: Bookings are confirmed when required upfront payment is received. Payment is due by the 1st of the month for that month’s sessions. Termination by client requires notice at least two weeks before the first day of the month for which coaching would continue. An initial three‑month commitment is requested; partnership review at six months.

 

Fees, payment methods, and refunds: Fees and billing terms are in your engagement agreement. Payments accepted via PayPal. Late payments may result in suspension of Services if not paid within 7 days of the due date; services will resume once outstanding amounts (plus any applicable late fees) are received.  Refunds only as specified in the engagement agreement; prepaid unused sessions may be prorated less cancellation fees unless agreed otherwise.

 

Confidentiality and limits: Communications are confidential except as required by law, to prevent imminent harm, to report abuse, or as set out here. Sessions are not recorded without oral or written consent. Trusted subcontractors may be used under confidentiality obligations. Credentialing processes may contact clients about experience (never session content).

 

Privacy and data handling: We collect necessary personal information to deliver Services. Records are stored securely for seven years. Clients may request access, correction, or deletion per law. See our Privacy Policy for details.

 

Safety, referrals, and crisis: Coaching is not a substitute for clinical care; we will refer to licensed professionals when needed. In emergencies, call local emergency services.

 

Intellectual property: The Open Pattern retains ownership of methodologies and materials. Clients receive a limited, non‑exclusive license for personal or agreed organisational use. Reproduction or resale requires written permission.

 

Testimonials and case studies: With client consent we may use anonymised testimonials or case studies; clients may opt out anytime.

 

Liability and disclaimers: No outcome guarantees. To the fullest extent allowed by law, our total liability is limited to fees paid for the specific engagement; we are not liable for indirect or consequential damages.

 

Termination: We may terminate or suspend Services for breach, nonpayment, or behavior undermining a safe environment. Fees for completed Services remain due.

 

Accessibility: We aim to accommodate reasonable adjustments; request at booking or at alice@theopenpattern.com.

 

Changes: We may amend these Terms; material changes will be notified to existing clients and posted on our website. Continued use after notice constitutes acceptance.

 

Miscellaneous: Independent contractor relationship; clients may not assign rights without our consent. If any provision is unenforceable, remaining provisions remain effective. 

 

These Terms, the engagement agreement, and Privacy Policy are the entire agreement.
